The Situation

This Florida Engineering Company had a unique IT environment. On-premise systems were managed internally, while a private Exchange environment and server cluster were supported by ITonDemand.

They were running Exchange 2013 on a domain separate from their local network, creating two distinct user environments. While the setup worked, it became increasingly complex to manage over time. To reduce overhead and improve security, they looked to unify both environments through a move to the cloud.

Managing two identity environments made account maintenance more difficult and increased the risk of error. It also created confusion for end users and added complexity for internal IT teams.

A Hybrid Migration With Zero Downtime

ITonDemand began with a detailed discovery process, reviewing inbox sizes, public folders, delegation rules, and forwarding configurations.

To avoid disruption, a hybrid environment was set up, allowing Exchange and Microsoft 365 to run in parallel. This enabled the team to migrate roughly 300 mailboxes in controlled batches, keeping systems live and staff productive throughout the process.

Thanks to extensive experience with similar projects, the migration proceeded smoothly with no major technical issues.

All mailboxes and associated data were successfully migrated without downtime. The legacy Exchange server was fully decommissioned, and the company’s dual environments were consolidated into one unified platform.
