The Situation

No Centralized System for District Resources

Lynden School District did not have a centralized way to distribute internal information. Many forms and documents existed in paper format, while others were posted on the district’s public website. HR materials and operational resources were spread across multiple locations, making it difficult to manage content from a single authoritative source across the organization.

As Lynden’s outsourced technology leadership partner, ITonDemand recommended establishing a centralized internal repository. With more than 500 staff members relying on district resources, the need for a structured, secure system became increasingly important. Without that structure, information management depended heavily on manual coordination and inconsistent distribution methods.


The Challenge

Balancing Accessibility With Security

While decentralization created inefficiencies, the larger concern was security. Forms hosted on the public-facing website were exposed to phishing risks, and staff were often asked to download PDFs and email completed documents back. This process increased the likelihood that sensitive information, including PII, could be shared insecurely.

The district needed a solution that would strengthen security without disrupting daily operations for hundreds of users. Any new system had to move resources behind authenticated access while remaining simple enough to encourage adoption. The challenge was improving protection and trust without adding friction to established workflows.


The Solution

Designing a Secure SharePoint Environment

ITonDemand recommended activating and structuring SharePoint within Lynden’s existing Microsoft 365 environment. As the district’s technology leadership partner, the team designed a centralized SharePoint site secured behind single sign-on and integrated with existing file systems, including OneDrive.

Internal forms and documents were migrated from the public website into the authenticated platform. ITonDemand led the rollout from planning through launch in approximately eight weeks, establishing clear structure, permissions, and publishing workflows. The implementation also expanded content ownership by enabling roughly 10 new staff members to publish and manage information directly within the system.

The new SharePoint environment now serves more than 500 staff members through authenticated access. Forms and HR resources are accessed through a single internal portal rather than downloaded from public pages or returned through email attachments.
